Terms & Conditions – Solomons Staircase School

These Terms & Conditions apply to all registrations for the Solomons Staircase School operated by Four Faces (“the Organiser”, “we”, “us”, “our”).
By purchasing a ticket or attending the event, you agree to be bound by these Terms & Conditions.
1. Event Details
Event Name: Solomons Staircase
Organiser: Four Faces (New Zealand registered company)
Venue: Hilton London Heathrow Airport Terminal 5, Poyle Rd, Colnbrook, Heathrow SL3 0FF, United Kingdom
Dates:
Start: 9 September, 9:00am
End: 12 September, 5:00pm
Daily Schedule: 9:00am – 5:00pm each day
Ticket Price: £798 GBP per person
2. What Your Ticket Includes
Your ticket includes:
Access to all conference sessions across the 4-day event
Post-event copies of the conference content sent to registered attendees
Morning tea, lunch, and afternoon tea provided each day
Your ticket does not include:
Breakfast, dinner, or any other meals not expressly stated above
Accommodation
Travel, visas, insurance, or personal expenses
3. Accommodation, Meals & Transport
Attendees are responsible for arranging their own accommodation.
Accommodation is not included in the ticket price.
If attendees book accommodation at the Hilton London Heathrow Airport (Terminal 5), breakfast may be added directly to their room booking at their own cost.
The Organiser is not responsible for accommodation availability, pricing, or service quality.
You will need to arrange your own transportation to & from the venue.
4. Payment Terms
All prices are listed in British Pounds (GBP).
Full payment is required at the time of registration unless otherwise stated.
Tickets are issued to individuals and are not transferable without prior written approval from the Organiser.
5. Refund & Cancellation Policy
This event is a time-specific service provided on fixed dates.
Refunds are assessed based on the date written cancellation notice is received by the Organiser.
Cancellation within 2 months of the event start date:
No refund
Cancellation more than 2 months before the event start date:
50% refund
All refunds:
Are processed to the original payment method
Exclude any third-party transaction or currency conversion fees
Are final once issued
No refunds will be given for:
Failure to attend
Partial attendance
Travel disruptions, illness, or personal circumstances
These terms comply with the UK Consumer Rights Act 2015 for time-specific event services.
6. Event Changes or Cancellation
The Organiser reserves the right to:
Modify the event schedule, speakers, content, or format if reasonably required
Change the venue within the Heathrow area if necessary
If the event is cancelled by the Organiser:
A full refund of the ticket price will be issued
The Organiser is not responsible for travel, accommodation, or other associated costs incurred by attendees
7. Force Majeure
The Organiser shall not be liable for failure or delay in performing obligations where such failure results from events beyond reasonable control, including but not limited to:
Acts of God
Government restrictions or legal requirements
Public health emergencies
Venue closure
Travel disruptions
Speaker illness or unavailability
In such cases, the Organiser may reschedule the event or provide alternative arrangements where reasonably possible.
8. Recording, Photography & Intellectual Property
The event is not live streamed.
Sessions will be recorded and shared only with registered attendees after the event.
The organiser reserved the right to use the material in way deemed fit within their own independent platforms.
By attending, you acknowledge that you may appear in audio, video, or photographic recordings.
All event content, recordings, and materials remain the intellectual property of Four Faces.
Attendees may not:
Record sessions without prior written permission
Share, reproduce, sell, or distribute event materials publicly
Use event content for commercial purposes without consent
9. Data Protection & Privacy (UK GDPR)
The Organiser complies with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
We collect personal data including (but not limited to):
Name
Contact details
Email Address
Personal data is used solely for:
Event administration
Communication
Delivery of post-event materials
Data may be securely stored and processed outside the UK, including in New Zealand. Appropriate safeguards are in place.
Attendees have the right to:
Access their data
Request correction or deletion
Withdraw consent where applicable

10. Equality, Inclusion & Accessibility
The Organiser complies with the UK Equality Act 2010 and does not unlawfully discriminate on the basis of:
Disability
Age
Gender
Race
Religion or belief
Sexual orientation
Reasonable accessibility adjustments may be requested in advance. Please contact the Organiser as early as possible to discuss requirements.
11. Health, Safety & Conduct
Attendees must comply with all venue health and safety requirements and reasonable instructions from staff.
Disruptive, unsafe, or inappropriate behaviour may result in removal from the event without refund.
Attendance is voluntary and at the attendee’s own risk.
12. Limitation of Liability
To the fullest extent permitted by law:
The Organiser is not liable for personal injury, loss, or damage to property
The Organiser is not responsible for indirect or consequential loss
Nothing in these Terms excludes liability for death or personal injury caused by negligence, fraud, or other liabilities that cannot be excluded under UK law
13. Governing Law & Jurisdiction
These Terms & Conditions are governed by the laws of New Zealand.
Nothing in this clause limits any mandatory consumer protections or statutory rights available under UK law where applicable.
